2.Purpose of the AI-Chatbot
Our AI-chatbot is a demo environment designed to showcase basic agentic features. It allows potential customers worldwide to explore how similar tools could function within their organizations when connected to local Large Language Models (LLMs) and corporate data sources. The demo uses synthetic data mimicking files and documents typical in oil and gas companies, enabling users to ask questions and experience potential solutions.

We do not use information provided in the feedback form for marketing or promotional campaigns. We handle this information in accordance with all data protection principles outlined in this policy, including ensuring that only authorized personnel can access these submissions.
Dialogues in AI chatbot
All dialogues created by the users are automatically deleted at the end of every day and are retained for no longer than 24 hours. Authentication logs will be stored up to 180 days for audit and security purposes. We follow strict data minimization practices to ensure that we collect only necessary information for operational purposes.
6.Cross-Border Data Transfers
Our chatbot is hosted on Salesforce servers located in the United States. Depending on the AI model you select during use, your queries may be further processed by various LLM providers (such as ChatGPT, Anthropic, Deepseek, Mistral, etc.) in the United States, China, or the EU.
Data in transit is secured with HTTPS/TLS encryption. We do not enter into individual contractual agreements with each LLM provider. Instead, we rely on the privacy policies and data protection practices of these providers to govern how your data is handled. We take reasonable steps to ensure that these international transfers are conducted in accordance with appropriate safeguards as required by applicable laws.

7.Cookies Policy
Our website uses essential cookies solely for session management to ensure the smooth operation of the AI-chatbot demo. SessionID cookies maintain login state and expires at session end. No other cookies collected during use of our website or chatbot. You may disable cookies through your browser settings; however, this may limit the chatbot's functionality.
8.Security Measures
We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction. Our security practices include:

·HTTPS/TLS: Encryption of data during transmission and processing, regardless of location.
·Encryption at Rest: even though stored less than 24hrs, dialogues are encrypted via AES-256 encryption. This ensures that data is secure when not being actively used.
·Data minimization practices and automated deletion of all user interaction data within 24 hours.
Infrastructure of our hosting provider complies with various industry standards, including ISO 27001, SOC 1 and SOC 2, and PCI Level 1.
While we employ reasonable security practices, no online system can be entirely immune to all risks.
9.Data Minimization
We only collect the minimal contact details (name, email, phone) you choose to provide. This data is stored securely in our corporate email systems and protected in transit by HTTPS/TLS. It is accessible only by authorized team members who handle support and inquiry responses.
Dialogues are deleted every 24hrs.
